Examination of Current Operations:
Have it in writing, is our policy. This not only makes our lives easier but everyone from the Board of Directors to the members themselves. Written policies make it so that we are all on the same page at all times. Initially when taking over an Association we will sit down with the Board of Directors and go over what is currently in place. From there we will make suggestions based on our extensive experience and resources on how to adjust current policies for the better.
Technology:
Cambridge utilizes TOPS Professional property management software. Using TOPS allows us to simplify the takeover of community’s finances. Another great feature of TOPS is when linked to the community’s website owners can login and view their personal accounts at their leisure as well as make payments online. Also, the Board of Directors will have the ability to login and view Association accounts.
Collection Policy:
Having a Collection Policy in place helps outline the collection procedures in plain English for all to understand. Specifics regarding application of payments, Intent to Liens, liens and foreclosure are published and distributed to all owners. Violations / Compliance Policy: The biggest complaint we hear about when taking over an Association is that they have no compliance policy in place. Without an effective policy communities are in constant chaos. Cambridge can help set up a step by step policy plus help enforce it which is the key component to the whole policy.
Community Maintenance Schedules:
A Maintenance Schedule helps protect the physical assets of the community by creating a detailed plan for routine and preventative maintenance.
Educate the Importance of Established Committees:
Cambridge can assist in setting up various committees as well as educate their importance. Committee’s such as the Architectural Review Committee helps to monitor policies set in place that require owners when making changes to the exterior of the homes abide by certain rules. Many communities will have a written application that must be filled out by the owner and reviewed by the A.R.C. before any work can be completed.
Vendor Specifications:
Cambridge has strict Vendor specifications outlined to protect our Association. This includes requiring each vendor to list the Association where work is being done as an additional insured on their general liability policy. We also do not pay a vendor until work done has been inspected by Cambridge employees and has been proven to be completed correctly.
